Fall and Spring event scheduling opens during the prior late spring / early summer. This is typically around the start of June, but can vary a little. The Scheduling Office will always email all faculty and staff at least twice in the weeks leading up to the scheduling open date for fall/spring events, to inform everyone about the open date and clarify the policy and deadline info that you can find on our Scheduling Office website here.
Please note that Fall and Spring event scheduling open on the same date; you do not need to wait until later to request a Spring event.

All event requests that require PCC review must be submitted to the Scheduling Office by four weeks (28 days) prior to the intended event date. All requests for Communications, audio support, other technical support, and/or live streaming for events must also be submitted to those respective offices by four weeks prior to the intended event date, even if the event is not yet approved by the PCC.
This applies to all Jacobs School events that are open to the public and/or advertised on the Jacobs School events calendar, other than student recitals. This does not apply to non-public reservations, such as rehearsals and recording sessions.
Changes to a requested or approved event are permissible past the above deadline. However, if changes to date/time/location are made under four weeks prior to an event, support from Communications, Audio, Music IT Services, IUMusicLive, Recital Setup, and other offices may not be possible, at the discretion of each office.
