Ad Hoc Space Reservations

Ad hoc space requests may be submitted up to 2 weeks in advance of the requested date.

Space requests submitted under 2 business days in advance will not be fulfilled. Saturday and Sunday are not business days. E.g., If you would like to request a space for a Monday, your request must arrive on or before the prior Thursday. If you would like to request a space for a Tuesday, your request must arrive on or before the prior Friday.

To request time in a classrooms, rehearsal rooms, or performance halls:

1. Email the Scheduling Office (musched@indiana.edu). The Scheduling Office does not accept student phone call or student walk-in space requests.
   
2. In your email request, please include*:
   • Purpose of the request (rehearsal, recording, coaching, etc.)
   • Number of attendees
   • Preferred day(s) and time(s), including duration
   • Alternate day(s) and times(s), including duration
   • Optional: preferred and alternate location requests
3. Do not follow up on your request. The Scheduling Office receives a high volume of student spaces requests and fulfills requests in the order in which they are received. Thank you for your patience!

The Scheduling Office will work to fulfill your request or to suggest other options if your preferred and alternative day(s)/time(s) are not available.

*Missing details from the list might result in a delay in processing your ad hoc space request.

To help the Scheduling Office process your space request quicker, when emailing your ad hoc space request be sure to:

• List the date(s) of your requests in the email subject line.
• Include alternative date(s), time(s), and/or room(s) preference in case your first choice(s) are not available.
• Include preferred reservation duration. If preferred reservation duration is not included, we will schedule your reservation for one hour.

Reminders

• Ad hoc space requests submitted earlier than 2 weeks in advance of the date being requested will not be fulfilled.
• Ad hoc space requests submitted under 2 business days will not be fulfilled.
• Saturday and Sunday are not business days.
